The first week, in order. Do these five and you are running your business in the app. Everything after that is refinement.
Your first week
Roughly an hour of setup, spread across a few sittings. You do not need to finish it all before you take your first job.
Get it installed
Put the app on the device you actually carry before you set anything else up.
- Install Android on the phone that goes in the truck.
- Install Windows on the office machine, or skip it and use the web app.
- Sign in on both with the same account.
Bring your customers in
Import beats typing. Even a rough spreadsheet is worth importing.
- Export customers from your old system as CSV.
- Import it and map the columns once.
- Review the preview before you commit the import.
Messy export? Send it in and it gets cleaned up for you.
Set up your company
The details that end up printed on every invoice a customer sees.
- Company name, address, and callback number.
- License numbers that must appear on invoices.
- Your labor rates and standard tax rate.
- Upload your logo.
Worth doing properly once. It shows up everywhere.
Run your first job
Do a live job end to end. Do not practice on a fake one, since fake jobs skip the awkward parts.
- Create the job against a real customer.
- On site, photograph the data plate to capture the unit.
- Log readings and notes as you work.
- Mark it complete and look at the auto-generated report.
Get paid
Invoice from the job you just finished, before you leave the driveway.
- Generate the invoice from the job data.
- Check the line items and totals.
- Take payment on the phone, or send it for payment online.
Invoicing on site is the single biggest change most operators notice.
Then add the rest
Turn these on one at a time, not all at once.
- Dispatch board and scheduling
- Van stock and reorder alerts
- Fleet maintenance tracking
- Compliance and certification expiry alerts
- Customer portal
Three habits worth building early
Photograph the data plate on every unit you touch
Ten seconds on site. It captures the model and serial, and it means next year's service call starts with full history instead of a guess. It also settles warranty arguments.
Log readings while you are at the equipment
Readings written down in the truck afterward are readings half-remembered. Enter them at the unit, or dictate them if your hands are full. It works offline, so no signal is not a reason to wait.
Close the job before you drive away
Mark it complete and invoice on site. Paperwork saved for the end of the week becomes paperwork done badly on a Sunday, and unbilled work is the most expensive kind.
